Aloha, and mahalo for visiting. This policy explains, in plain language, what information Maui Property Managers LLC ("we," "us," "our") collects through mauipropertymanagers.com, how we use it, and the choices you have. We're a small, local team in Kihei, and we treat your information the way we'd want ours treated.
This policy covers our website. Text messaging has its own policy: our Communications Privacy Policy. If you opt in to texts from us, that policy also applies.
1. Information we collect
Information you give us
Contact and consultation forms. When you ask a question or request a consultation, we collect what you enter, usually your name, email, phone number, and your message.
Free Rental Analysis form (/analysis). To prepare your estimate, we ask for your name, email, phone number, the best time to reach you, and details about your property: its address, town, home type, bedrooms and bathrooms, whether it has an ohana, how it's used today, and (optionally) its assessed value. The rent and tax-savings estimate shown on screen is included with your submission so our team can follow up accurately.
Newsletter signup. If you join our newsletter, we collect your name and email address.
Emails and calls. If you email or call us, we keep a record of what you send or tell us so we can help you.
Information collected automatically
When you visit our site, our website platform (Squarespace) automatically collects some standard technical information, such as your IP address, browser and device type, pages visited, the website that referred you, and the general location suggested by your IP address. See section 4 for more on cookies.
We don't ask for sensitive information through the website, such as Social Security numbers or bank details. Please don't send those through our forms. If we need them to provide a service (for example, setting up owner payments), we'll collect them through a secure channel.
2. How we use your information
We use your information only to respond to you and to provide our services. That means we use it to:
answer your questions and follow up on requests;
prepare your rental analysis, and have a member of our team call or email you about it. When you submit the form, an email with your details goes to our team, and we reach out at the time you prefer;
provide property management, home care, and real estate services if you become a client;
send our newsletter, if you signed up;
keep the website working, secure, and free of spam, and understand in general terms how visitors use it so we can improve it;
meet our legal and licensing obligations as a Hawaii real estate brokerage.
We will never sell your personal information or rent it to anyone. We don't share it with other companies for their own marketing.
We won't send you marketing text messages unless you have separately opted in under our Communications Privacy Policy.
3. Who we share it with
We share information only with service providers that help us run our business, and only as much as they need to do that work. They include:
Squarespace, which hosts our website, processes form submissions and newsletter signups (through Squarespace Email Campaigns), and provides site analytics;
Google, which provides the spam protection (reCAPTCHA) on our forms;
the email and office software we use to receive your requests and keep track of them;
Buildium, our property management software, if you become a client, owner, or tenant. Buildium's owner and tenant portals have their own privacy policies.
We may also share information when the law requires it, to protect the rights and safety of our clients, our team, or others, or as part of a sale or reorganization of our business. In that case we would require the new owner to honor this policy.
4. Cookies, analytics, and similar tools
Cookies are small files a website stores in your browser. Squarespace uses cookies to make the site work (for example, keeping the site secure and remembering your preferences) and to give us analytics: summary reports such as how many people visited, which pages they viewed, and how they found us. We use these reports only to improve the site. We don't use them to identify individual visitors. Google reCAPTCHA also uses cookies and device information to tell real people from bots.
The rental analysis tool also saves a small amount of information in your own browser, not on our servers. It keeps your answers only for your current browsing session, so your estimate can be shown after you submit. It also keeps a short record of recent submission times to discourage spam.
You can block or delete cookies and stored site data in your browser settings. Some parts of the site, including the forms, may not work properly if you do. To learn more, see the Squarespace Cookie Policy, the Squarespace Privacy Policy, and the Google Privacy Policy.
Our site may link to or show content from other sites, such as Google reviews and maps, our Buildium portals, and mauipropertyagents.com. Those sites have their own privacy practices, so please review their policies.
5. Newsletter
If you subscribe, we'll email you occasional updates on rentals and Maui real estate. You can unsubscribe at any time using the link at the bottom of any newsletter, or by emailing us. Unsubscribing from the newsletter doesn't affect messages about services you've asked us for.
6. How long we keep it
We keep information only as long as we need it:
Inquiries and rental analysis requests that don't lead to working together: up to 3 years, then we delete them.
Client, owner, and tenant records: for as long as we work together, and afterward for as long as Hawaii real estate, tax, and other laws require.
Newsletter subscribers: until you unsubscribe.
You can ask us to delete your information sooner (see section 9).
7. How we protect it
We use reasonable safeguards to protect your information. They include secure (HTTPS) connections on our site, access limited to team members who need it, and reputable service providers. No website or email system is 100% secure, so we can't guarantee absolute security. If a security incident affects your personal information, we'll notify you as required by Hawaii law.
8. Children's privacy
Our website and services are meant for adults. We don't knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we'll delete it promptly.
9. Your choices and rights
Wherever you live, you can ask us to:
see the personal information we have about you;
correct anything that's wrong;
delete your information (we may need to keep some records when the law requires it, and we'll tell you if so);
stop emails or calls about our services, or unsubscribe from the newsletter.
To make a request, email hello@mauipropertymanagers.com with the subject "Privacy request," or call (808) 900-7406. We may ask you to confirm some details to verify your identity before we act on a request, and we'll respond as soon as we can, usually within 30 days.
10. Changes to this policy
We may update this policy from time to time. When we do, we'll post the new version on this page and change the "Last updated" date above. If the changes are significant, we'll make that clear on the site.
